QR Codes for Hotels

A hotel room is one of the few places a guest will genuinely read a printed card. Codes work here because they replace the directory folder nobody opens.

The Wi-Fi code earns its place immediately

It is the first thing every guest wants and the most tedious thing your front desk does. A Wi-Fi code on the desk card, the bedside table and the reception counter removes the entire interaction. Print it at 3cm or larger, use WPA unless your network genuinely needs something else, and put it somewhere a guest will see within a minute of arriving in the room. If the network uses a captive portal with a voucher system, the code cannot join automatically — put the portal instructions on the same card rather than pretending otherwise.

Replacing the room directory

The leather folder on the desk is expensive, out of date within a month, and rarely opened. A single code linking to a mobile page covering room service, spa hours, checkout, housekeeping, local recommendations and contact numbers does the same job, updates instantly, and works in every language the page supports. Keep one code with a clear label rather than eight scattered around the room — a wall of codes on a desk reads as clutter and gets none of them scanned.

Check-in, check-out and payments

Pre-arrival check-in codes on the confirmation email or the door of a small property cut queueing at the desk. In-room checkout codes let guests settle and leave without waiting behind a coach party. Both work best when they are genuinely optional — a guest who wants a human at 7am should get one, and a hotel that forces the digital route creates the exact friction it was trying to remove. Never print a payment code that carries a fixed payment link on public signage; route payments through the guest's own booking reference behind a login.

Reviews and local partnerships

A review code at checkout or on the key card wallet catches guests at the moment they are most positive, and hotel reviews are worth more per unit than almost any other business's. Local guide codes — a curated map of restaurants, walks and attractions — are also quietly effective, both because guests use them and because they make partnership deals with local businesses measurable. Give each partner their own tracked link and you can show them the traffic you sent.
